Retreat Terms & Conditions
These Terms & Conditions (T&Cs) apply to retreats and workshops delivered by DEYA Retreats. By purchasing a ticket or registering, you agree to these T&Cs.
“We/us/our” and “organisers” mean DEYA Retreats and its related entities and personnel. “You/your” means the person registered to attend the retreat or workshop (the participant).
1. Booking & Eligibility
1.1. By purchasing a ticket or registering for a retreat or workshop, you confirm that you have read and agree to these Terms & Conditions (T&Cs).
1.2. Attendees must be 18 years of age or older unless expressly approved in writing.
1.3. Places are limited and are only confirmed when we send you written confirmation after receiving your deposit and any required registration information.
2. Pricing & Invoices
2.1. Prices are listed in United States Dollars (USD), unless otherwise stated.
2.2. Tax invoices/receipts are issued upon purchase to the email provided.
2.3. All fees are fixed in the stated retreat currency; participants bear any currency exchange or transfer costs.
3. Payment & Fees
3.1. A non-refundable deposit of USD 250 per person, per booking is required at registration, unless a different deposit amount is specified for a particular retreat. If we do not accept your registration, the deposit will be refunded in full; otherwise it is credited toward your total fee.
3.2. Balance payments must be received by the date specified in your confirmation. If not received by that date, we may cancel your booking and retain your deposit and any other amounts already paid, in line with Section 16.
3.3. Payments are processed via approved platforms (e.g., Stripe, Squarespace, bank transfer, PayPal). All third-party processing fees are non-refundable and borne by the participant.
4. Confirmation
4.1. A confirmation email will be sent with event details and preparation materials, and, where applicable, confirming your room type or room allocation.
5. Accessibility & Support Needs
5.1. We are committed to inclusion. Please advise accessibility needs on registration or by email. Reasonable adjustments (e.g., seating, breaks, materials) will be provided where possible.
5.2. Some retreat venues may have inherent accessibility limitations (e.g., heritage buildings, unpaved access roads). We will advise and support where possible.
6. Code of Conduct & Safety
6.1. We foster a respectful and compassionate environment. All guests should contribute to the inclusion of others.
6.2. Harassment, discrimination, or unsafe behaviour — including racist, sexist, homophobic, ableist, or otherwise abusive conduct — will not be tolerated and may result in immediate removal without refund.
6.3. Participants are asked to respect the confidentiality of personal information shared by others during the retreat.
6.4. Alcohol and substances. Retreats are substance-light. Illegal substances are not permitted at any time. Alcohol is discouraged but may be served at the closing meal. We may remove any participant who is intoxicated or behaves in a way that risks the safety or comfort of others.
6.5. Participants must respect the retreat venue, facilities, and natural environment. Any damage caused may result in liability for repair or replacement costs.
7. Scope of Service
7.1. Our retreats and workshops are educational and experiential in nature, integrating contemplative and evidence-based practices.
7.2. They are not a health service, medical treatment, psychological counselling, or therapeutic intervention, and should not be relied upon as a substitute for professional care.
7.3. Participation is voluntary, and participants remain fully responsible for their own physical and mental health and wellbeing.
7.4. We strongly recommend seeking the advice of a qualified health or mental health professional for any medical or psychological concerns before, during, or after the retreat.
7.5. Suitability. Our retreats may not be suitable for everyone. They are not designed for people experiencing acute mental health crises, unmanaged psychosis, or high risk of self-harm. We may, at our discretion, decline or discontinue a booking where we reasonably believe participation could be unsafe for you or others. Where we ask you to withdraw for safety reasons, we will discuss appropriate support options and any partial refund or credit in line with Section 16.
8. Health, Wellbeing & Illness
8.1. Please do not attend in person if unwell or contagious. Tickets may be transferred to another person (see Section 16).
8.2. Organisers may implement health measures consistent with public health guidance (e.g. guidance from the WHO, the retreat host country and/or Australian government advice).
8.3. By registering, participants confirm they are physically and mentally able to participate in retreat activities. You are responsible for monitoring your own limits, communicating your needs, and seeking assistance if needed.
9. Additional Risks & Responsibilities
9.1. Retreat venues may be in rustic or natural settings, with inherent risks (e.g., uneven paths, unpaved roads, natural surroundings, pools). Participants accept these risks and agree to take reasonable care.
9.2. Emergency medical services may be delayed due to retreat location. Participants accept this risk and remain responsible for securing appropriate travel and medical insurance.
9.3. In the event of a medical emergency, organisers may arrange medical treatment at the participant’s expense. By registering, participants consent to this.
9.4. Participants are solely responsible for ensuring valid travel documents, visas, and entry permissions, as applicable.
9.5. We may engage third-party providers (e.g., facilitators, caterers, accommodation). While selected with care, we are not responsible for their acts or omissions.
9.6. You are responsible for your personal belongings at all times. We are not liable for any loss, theft, or damage to personal property.
9.7. We strongly recommend comprehensive travel and medical insurance that covers trip cancellation, curtailment, medical expenses, and personal property.
10. Program Changes & Facilitator Substitution
10.1. Retreat content, schedule, or contributors may be adjusted to improve experience and/or in response to changing circumstances.
10.2. If a facilitator cannot attend due to illness or emergency, a suitably qualified substitute may deliver. If not possible, Section 17 applies.
11. Minimum Numbers
11.1. We reserve the right to cancel if minimum enrolments are not met. Participants will be notified at least 21 days prior to the start date. If cancelled, you will receive a full refund or credit (see Section 17).
12. Venue, Travel & Accommodation
12.1. Retreat fees cover accommodation, meals, and program unless otherwise stated. Workshop fees cover program participation only.
12.2. Travel, transfers, insurance, personal items, extras and other expenses are not included and are at participant’s cost.
12.3. We are not liable for travel or accommodation costs incurred, and recommend securing appropriate personal insurances.
13. Intellectual Property & Materials
13.1. All program materials are protected by copyright.
13.2. Participants are granted personal, non-transferable licences for private use only.
13.3. No unauthorised recording, copying, or distribution of program materials or session content is permitted, including online sharing, without our prior written consent.
14. Photography, Audio & Video
14.1. We may capture photos or short audiovisual recordings for documentation and marketing purposes, including use on social media.
14.2. Participants may opt out at check-in and will be accommodated. Opting out may mean avoiding certain group photos; we will take reasonable steps to honour your preferences.
14.3. Sessions will not be audio/video recorded without express consent.
15. Privacy
15.1. We comply with applicable privacy laws.
15.2. We collect and use personal information to manage bookings, ensure participant safety (including health and dietary needs), communicate with you before and after the retreat, and improve our services.
16. Your Cancellation, Transfers & Refunds
16.1. If you cancel your retreat attendance more than 90 days before the retreat start date you will receive a 100% refund (excluding deposit).
16.2. If you cancel your retreat attendance in between 90 and 60 days before the retreat start date you will receive a 50% refund (excluding deposit).
16.3. If you cancel your retreat attendance less than 60 days before the retreat start date you will not receive a refund; however, 50% of the retreat fee may be credited to a future retreat within 18 months.
16.4. All cancellations must be submitted in writing.
16.5. Compassionate refunds and/or credits may be considered with evidence, however, are entirely at the organisers’ discretion.
16.6. Transfers to another person. You may request to transfer your booking to another person at least 14 days before the retreat start date, subject to our approval and any suitability checks. An administrative fee may apply. Until a transfer is confirmed in writing, you remain responsible for all payments.
17. Our Cancellation, Rescheduling & Force Majeure
17.1. If we cancel or reschedule for reasons within our control, you may receive a refund or 100% credit.
17.2. If we cancel or reschedule due to force majeure (events beyond our reasonable control, e.g., natural disasters, venue closure, public health orders), we will offer a new date or a credit for a future retreat. Where we are able to recover our costs, you may request a refund of fees paid, less any non-recoverable third-party costs.
17.3. Refunds or credits apply only to fees paid directly to organisers. We are not liable for third-party costs (e.g., travel, accommodation, insurance).
17.4. We are not liable for indirect or consequential losses associated with cancellation. Consider flexible bookings and travel insurance.
18. Liability
18.1. Participation is voluntary and at your own risk.
18.2. To the maximum extent permitted by law (including under Australian consumer law), we are not liable for any injury, loss, or damage arising out of or in connection with your participation, except where liability cannot be excluded.
18.3. Maximum liability is limited to the amount paid for your booking.
18.4. We make no representations, warranties, or guarantees regarding any specific outcomes from the retreat, including medical, psychological, therapeutic, professional, or personal outcomes.
18.5. If a participant is removed for breach of the Code of Conduct, no refund will be provided and they may be held liable for damages caused.
19. Governing Law & Dispute Resolution
19.1. These T&Cs are governed by the laws of Western Australia, Australia, unless otherwise required by the laws of the event location.
19.2. If a dispute arises in connection with these T&Cs or a retreat, you agree to first attempt to resolve it with us in good faith, including through informal discussions or mediation, before commencing legal proceedings (except where urgent relief is required).
